For cleaning companies

Scheduling for cleaning companies, with every site covered

Evening cleans at offices, a Saturday deep clean, cleaners who know some sites and have keys to them, and a crew that changes every week. ScheduleSolve drafts who covers each site on each shift, and keeps rest, days in a row and weekends fair.

The short answer

Cleaning company scheduling software decides which cleaners cover which sites on which shifts. In ScheduleSolve, each site or group of sites is an area, each part of the day is a shift, and you mark which cleaners know each site.

ScheduleSolve drafts the period from those needs and your rules, and shows any site it cannot cover before you post. It does not plan the route between sites, travel time or the tasks of each clean. It plans the people. You plan the jobs inside each shift.

An example week: Office buildings

7 people and 2 shifts in one area, filled by the same engine as the app. Gray cells are days a person said they can’t work. The rules: at least 11 hours of rest between shifts (Must), nobody works more than 5 days in a row (Must), and weekends are shared fairly (Try to).

  • Evening 5–11: 4 a day (0 on Sat and Sun)
  • Saturday 8–2: 3 on Sat only

How to schedule a cleaning company

A cleaning schedule has two parts: which cleaners work which shift at which site, and the jobs and the travel inside each shift. ScheduleSolve plans the first part. It does not plan routes between sites, travel time or the tasks of each clean. These steps set up the first part well.

1. Make each site, or group of sites, an area

Each office building, clinic or school you clean can be an area. Sites close to each other that the same crew covers in one evening can be one area. Add an area for special work, such as a Saturday deep clean.

2. Set shifts by the times you clean

Offices are often cleaned after close, for example Evening 5 to 11, and some sites need an Early clean from 5 to 9 before they open. Weekend deep cleans can have their own shift. Name each with its times.

3. Say how many cleaners each site needs

Write how many cleaners each site needs on each shift and day, from the contract or the size of the site. A building may need 4 cleaners on weekday evenings and none at the weekend. When a client adds a clean, raise the need for that day.

4. Keep cleaners on the sites they know

Clients want the same faces, and cleaners need keys, alarm codes and site knowledge. Mark which cleaners know each site. Only they are put there, offered an open shift there or offered in a swap.

5. Keep rest between a late and an early

An Evening that ends at 11 pm and an Early at 5 am leaves 6 hours. Set the rest you want between shifts as a Must rule, for example at least 11 hours, and the draft never puts the two together.

6. Share weekends, and rotate where it helps

Turn on “Try to: weekends are shared fairly” so the Saturday cleans rotate. If you want cleaners to know more sites, add “Try to: nobody works in the same area two weeks in a row”. If clients want the same cleaner every week, leave it off.

7. Let cleaners say when they can work

Many cleaners have a second job or study. In the staff app, they say which days they can’t work and which they would rather not, and ask for time off. Every draft takes it in.

8. Cover a sick call before the client notices

When a cleaner calls in sick, Home shows the free cleaners who know the site, then people from sites with more than they need, then an offer to everyone who can work it. Only the person who takes the shift is told. You then pass on that site’s jobs.

Your words, your rules

ScheduleSolve does not come with fixed job types or codes. You name your areas and shifts, and your rules read as plain sentences. For example:

Areas
Office buildingsMedical clinicSchoolSaturday deep clean
Shifts
Early 5–9Evening 5–11Saturday 8–2
People needed
Office buildings, weekday evenings: 4 cleaners.

The rules you would set

Each rule starts from one of the app’s rule templates, with your own numbers.

  • Must: at least 11 hours of rest between shifts.
  • Must: nobody works more than 5 days in a row.
  • Try to: weekends are shared fairly over 12 weeks.
  • Try to: nobody works in the same area two weeks in a row.

A Must rule always holds. A Try to rule holds when it can. You can also type a rule in your own words; ScheduleSolve shows the rule it understood before it is added. How rules work

Shift patterns that fit cleaning companies

Each pattern page has a calendar for each crew, the hours per week and a file to download.

What changes for you

A draft, not a blank grid

ScheduleSolve drafts the whole period from your people, needs and rules.

Only the decisions

Home, your list of decisions, shows time off requests, open shifts and changes to approve.

Only the right people told

Post once. Each person gets their shifts. After a change, only the people affected hear about it.

Sick calls, fixed fast

Someone can’t come? Home shows the smallest fix: a free person, a spare person or an offer.

What ScheduleSolve does not do

  • ScheduleSolve does not plan routes between sites, travel time or mileage.
  • It has no job or task lists, checklists, quotes or client billing.
  • It has no time clock, GPS or site check-in, and it does not run payroll. It exports the hours by pay code.

Questions

Can ScheduleSolve plan routes between sites?

No. ScheduleSolve does not plan routes, travel time or mileage. It plans who works which shift at which site. If a cleaner works two sites in one evening, make one shift that covers both, or plan the route outside ScheduleSolve.

How do I keep cleaners on the sites they know?

Make each site or group of sites an area, and mark the cleaners who know it and have access. The draft puts only those cleaners there, and an open shift is offered only to them.

Can I change the plan when a client adds a clean?

Yes. Raise the needs for that site on that day. The draft fills the extra place with a cleaner who knows the site, and the people affected are told.

Can cleaners say when they can work?

Yes. In the staff app, cleaners say which days they can’t work and which they would rather not, and ask for time off. Every draft takes it in.

What does it cost for a crew of 12?

$10 a month in USD. The price is $0.50 per person per month with a $10 minimum, which covers up to 20 people. There is a 7-day free trial with no card.
