Features

You set the rules. It builds the schedule. You make the calls.

Three parts: build the schedule, run the week, pay your people.

Build the schedule

Set it up once. Every period after that is a draft away.

01

Set up in one sitting

Pick how to start: upload the spreadsheet you use today, a template for your type of business, or a blank page. A short set of questions follows. Nothing is saved until you press Create.

Read the guide →
  • Upload your Excel or CSV schedule: we read your people, codes, colours and notes, and ask about anything we cannot work out.
  • Name your areas (Kitchen, Ward A, Till, Dock) and your shifts with their usual hours.
  • Say how many people each area needs per shift, on weekdays and weekends. Set an “at least” and an “ideally” number when they differ.
  • Paste your list of people. Add their email so they get the staff app.
  • Try it first with sample people, then remove them with one button.

02

Rules in two words: Must and Try to

A Must rule always holds. A Try to rule holds when it can. Type a rule in your own words, or start from a list of common rules and change the numbers.

Read the guide →
  • Type a rule in your own words: ScheduleSolve shows the rule it understood, and you check it before it is added. Type “Sam can’t work Tuesdays” and it offers to add the days Sam cannot work.
  • “Must: at least 11 hours of rest between shifts.”
  • “Try to: spread weekends fairly.”
  • Mark a Must rule as required by law or contract, so it is never relaxed.

03

A draft of the whole period

Press Draft and ScheduleSolve fills every shift it can, in seconds. It puts people where they are familiar first and keeps hours fair.

Read the guide →
  • Must rules always hold. If the needs cannot be met, the draft leaves a gap, not a broken rule.
  • A short summary says what is missing and why: not enough people, people away, or a rule that blocks it.
  • A weekday table shows where gaps fall in a typical week. Point to a square to see the dates.
  • Turn on autopilot and the next periods stay drafted for you.

Run the week

Sick calls, open shifts, swaps and time off, decided in one tap.

04

Home shows only what needs you

No hunting through the grid. Home is a short list of decisions, each with one clear button and Undo.

Read the guide →
  • A schedule is ready to post.
  • A time off request, with the effect on cover before you decide.
  • An open shift, and the people who want it.
  • A suggested change after something moved, with who it affects.

05

Post once. Only the right people are told.

When you post, each person gets their shifts by email and in the staff app. After that, a change tells only the people it affects.

Read the guide →
  • The first post tells everyone with shifts.
  • A later change tells only the people whose shifts changed, with what changed.
  • If you edit a posted schedule, Home reminds you who has not been told yet.
  • Short of people? You can still post. ScheduleSolve asks you once and keeps a note.

06

When someone can’t come, the smallest fix

Mark a person as sick, absent or on other time off, or let staff report sick in the app. Home shows the ways to fill the shift, with the fewest changes first.

Read the guide →
  • Give it to a person who is free that day and knows the area.
  • Move someone from an area that has more people than it needs.
  • Offer it to everyone who can work it, or leave it short.
  • Each option keeps every Must rule. Pick one with one tap, with Undo. The person who takes it is told.

07

Open shifts are offered for you

A gap becomes an open shift. It is offered to everyone who can work it: they know the area, are not away, and no Must rule breaks.

Read the guide →
  • Staff see open shifts in their app and tap to pick one up.
  • You pick who gets it from Home, or let it go automatically when it adds no overtime.
  • Shifts within 48 hours show first.

08

Swaps and give-aways, checked for you

Staff trade a shift with a colleague, or give one away, in the app. ScheduleSolve offers only colleagues who can work it.

Read the guide →
  • Pick a colleague and the shift of theirs you take. They accept or decline with one tap.
  • Give a shift away to one person, or to anyone who can work it. The first who accepts gets it.
  • Already agreed by text? Pick that person, or share a link with colleagues.
  • You approve from Home with one tap, or let swaps go through when they break no Must rule and add no overtime.

09

Time off without the group chat

Staff ask for time off in the app. You see whether it leaves a gap before you approve or decline.

Read the guide →
  • Your own time off types: Vacation, Sick, Day off for weekend worked, or anything you use.
  • Approve automatically, or keep each request for your OK.
  • Approved time off is in every draft.

10

Ask, and it explains

Ask in plain words and get a plain answer. Every one of these also works without AI, and nothing changes until a person taps to confirm.

Read the guide →
  • “Why?” on a cell explains why that person is there, or why a shift is open.
  • Ask the search “Who is working Tuesday?” and the grid shows them.
  • The Home assistant takes “Someone can’t come” or “Time off for someone” and opens the right step.
  • Staff tell their manager in their own words; ScheduleSolve turns it into a request they check before it is sent.

11

A staff app with nothing to install

Staff open a link from their invite and sign in with a code sent by email. No passwords. It works in any phone browser, and can go on the home screen like an app.

Read the guide →
  • My shifts: the shifts they were told, week by week, and who works with them when the team allows it.
  • Requests: ask for time off, say when they can’t work, report sick, swap or give away a shift. Cancel a request that waits, with Undo.
  • Open shifts to pick up, and Updates for every change to their shifts.
  • Their shifts in Apple or Google Calendar, notifications on their phone or computer, and quiet hours.

Pay and grow

Hours for payroll, and room for more teams.

12

Timesheets for payroll

At the end of each pay period, see the hours by pay code. Export a file for your time system, or enter it by hand from a checklist.

Read the guide →
  • Layouts for UKG Pro WFM (Dimensions) and Workforce Central (Kronos), and a generic CSV for other payroll systems.
  • Map each time off type and shift to your own pay codes, once.
  • See what changed since the schedule was posted.

13

For larger teams

Split a business into teams, each with its own schedule. Give a manager only the teams they look after.

Read the guide →
  • A team manager sees and changes only their teams' people and schedules.
  • Areas can be shared by every team.
  • History records who changed what, and when.
  • Undo the last change with one tap.
