For hotels
Hotel staff scheduling for the front desk, housekeeping and night audit
A front desk open around the clock, housekeeping that follows check-outs, a night audit and a weekend that is always busy. ScheduleSolve drafts each department’s schedule from your needs and rules, and tells only the people whose shifts changed.
The short answer
Hotel staff scheduling software plans the front desk, housekeeping, night audit and food service so that each department has the people it needs on each shift. You make each department an area, set how many people it needs on each shift and day, and mark who can work where.
ScheduleSolve drafts the period in seconds. It keeps rest between an evening and the next morning, shares weekends and nights, and shows any gap before you post. It does not read your occupancy or bookings. You set the needs, and you can raise them for a busy week.

-
Housekeeping needs change with check-outs.
With ScheduleSolve: Set more housekeepers on the days you know are busy. Change the needs for one week in seconds.

An example week: Front desk
9 people and 3 shifts in one area, filled by the same engine as the app. Gray cells are days a person said they can’t work. The rules: at least 11 hours of rest between shifts (Must), nobody works more than 5 days in a row (Must), and weekends are shared fairly (Try to).

How to schedule hotel staff
A hotel runs every hour of every day, and each department has its own rhythm. The front desk needs people around the clock, housekeeping follows check-outs, and breakfast is busy for three hours. These steps put each department on one schedule. With ScheduleSolve, steps 4 to 6 are part of every draft.
1. Make each department an area
Front desk, Housekeeping, Night audit, Breakfast, Maintenance: each one is an area with its own needs. People who work two departments can be marked for both.
2. Set shifts by department
The front desk often runs Morning 7 to 3, Evening 3 to 11 and Night 11 to 7. Housekeeping may work one day shift, and breakfast an early short shift. Name each shift with its times.
3. Set needs from your busy days
Write how many people each department needs on each shift, with more on the days you know are busy, such as Friday check-ins and Sunday check-outs. ScheduleSolve does not read your occupancy, so change the needs for a week with a big event or a full house.
4. Keep rest between an evening and a morning
An Evening that ends at 11 pm and a Morning at 7 am leaves 8 hours. Set the rest you want between shifts as a Must rule, for example at least 11 hours. Some places also have rules on rest and notice for schedule changes; check the rules where you work.
5. Share the night audit and the weekends
The night audit and weekend shifts tend to fall on the same people. Mark who can do the night audit, then turn on “Try to: Night shifts are shared evenly” and “Try to: weekends are shared fairly”. The draft counts them for each person.
6. Limit days in a row
In a busy season, people can end up working ten days straight. Set “Must: nobody works more than 5 days in a row”, and the draft keeps it.
7. Handle seasonal staff and time off
Add seasonal staff a few weeks ahead, mark what they can work, and raise the needs. Staff ask for time off in the app, and you see whether a request leaves a gap before you approve it.
8. Post once; tell only the people a change affects
Post the schedule and each person gets their shifts by email and in the staff app. When a group booking changes the plan, change as little as you can. ScheduleSolve tells only the people whose shifts changed.
For fixed 8-hour rotations around the clock, see the 8-hour rotating shift schedule and the Continental shift pattern.
Your words, your rules
ScheduleSolve does not come with fixed job types or codes. You name your areas and shifts, and your rules read as plain sentences. For example:
- Areas
- Front deskHousekeepingNight auditBreakfast
- Shifts
- Morning 7–3Evening 3–11Night 11–7
- People needed
- Front desk: 2 people Morning and Evening, 1 at Night.
Start blank and add your own areas and shifts in a few minutes, or upload the spreadsheet you use today.
The rules you would set
Each rule starts from one of the app’s rule templates, with your own numbers.
- Must: at least 11 hours of rest between shifts.
- Must: nobody works more than 5 days in a row.
- Try to: Night shifts are shared evenly, within 2 of each other each month.
- Try to: weekends are shared fairly over 12 weeks.
A Must rule always holds. A Try to rule holds when it can. You can also type a rule in your own words; ScheduleSolve shows the rule it understood before it is added. How rules work

What changes for you
A draft, not a blank grid
ScheduleSolve drafts the whole period from your people, needs and rules.
Only the decisions
Home, your list of decisions, shows time off requests, open shifts and changes to approve.
Only the right people told
Post once. Each person gets their shifts. After a change, only the people affected hear about it.
Sick calls, fixed fast
Someone can’t come? Home shows the smallest fix: a free person, a spare person or an offer.
What ScheduleSolve does not do
- ScheduleSolve does not connect to your property management system, so it does not read occupancy or check-outs. You set the needs.
- It does not assign rooms to housekeepers. It plans who works which shift in Housekeeping.
- It has no time clock and does not run payroll. It exports the hours by pay code.
Questions
Can it schedule every department in one place?
Yes. Make each department an area: Front desk, Housekeeping, Night audit, Breakfast. Mark who can work each one. A person who works two departments can be put in either, as needed.
How do I plan housekeeping for a busy weekend?
Set a higher number for Housekeeping on Saturday and Sunday, or change the needs for one week. The draft fills the extra places with people who can work there, and shows any it could not fill.
Who gets the night audit?
Mark the people who can do the night audit. Turn on “Try to: Night shifts are shared evenly”, and the draft spreads the nights between them. Why? on a cell shows the reason for each one.
Can staff swap shifts with each other?
Yes. In the staff app, staff swap or give away a shift. ScheduleSolve offers only colleagues who can work it. You approve from Home, or let swaps go through when they break no Must rule and add no overtime.
Does it work for a small hotel or an inn?
Yes. The price is $0.50 per person per month with a $10 minimum, so a team of up to 20 pays $10 a month. You can try the free schedule maker first, with no account.
