Swaps and give-aways

How staff trade or give away a shift, and how you approve it.

Staff can trade a shift with a colleague, or give a shift away. ScheduleSolve offers only colleagues who can work the shift: they know the area, are free that day, and no Must rule breaks.

Swap a shift (staff)

  1. In the staff app, open Requests and press Swap or give away.
  2. Keep Swap with someone selected and pick your shift.
  3. Pick a colleague, then the shift of theirs you take.
  4. Add a note if you want, and send it.

Your colleague accepts or declines with one tap. Then your manager decides, unless your team approves swaps automatically.

Give a shift away (staff)

  1. Press Swap or give away, then Give away, and pick your shift.
  2. Give it to one colleague, or press Ask anyone who can.

When you ask anyone who can, colleagues who can work it see it under Open shifts. The first who accepts gets it.

Already agreed by text? Pick that person. You can also press Share link and send the link to colleagues by text, chat or email. Only people in your organization who can take the shift can open it.

Follow a swap

Your swaps show under My swaps on the Requests tab, with their status: waiting for a colleague, waiting for OK, done or declined. You can cancel a request while it waits. If a shift in it changes, the swap is no longer possible; ask for a new one.

Approve a swap (managers)

When both people agree, a Swap card shows on Home. It says whether the swap breaks a rule.

  • Press Approve. Both people's shifts change and they are told. Undo is there if you change your mind.
  • Or type a reason (optional) and Decline. Both people are told.

A swap that breaks a Must rule cannot be approved.

Approve swaps automatically

Open Settings, then Approvals. Choose to approve swaps and open shift pick-ups automatically when they break no Must rule and add no overtime. A swap goes through automatically only when both people are on automatic. People listed under Always needs my OK for always wait for you.
