Open shifts and pick-ups
Offer gaps to people who can work them, and pick who gets each one.
An open shift is a shift that still needs a person. It shows on Home and in the staff app.
Who is offered a shift
ScheduleSolve offers a shift only to people who can work it:
- they know the area,
- they are not away or already working at that time,
- no Must rule breaks, and they stay under their max hours.
On Home
The open shifts of one posted schedule share one Open shifts card, a row per day: "Wed Oct 14 · Bar · Dinner · needs 1 · Offered to 4". The first 7 days show; Show all shows the rest. A shift that starts within 48 hours, or one that people picked up, gets its own card.
Offer a shift
When you post, keep Offer the open shifts ticked. To offer them later, press Offer all N not offered on the Open shifts card, or Offer to N people on a shift's own card. To stop, press Stop offering.
When nobody can take it
The card says why, for example "Nobody can work it now: 3 already work that day, 2 don't know Bar." You can:
- Ask someone anyway: pick a person who cannot take it. The shift goes to them, and the message says what it breaks, with Undo.
- Leave it short: it goes off Home. The shift stays open for staff, and comes back if the need changes.
- Lower the need: change how many people the area needs.
To offer shifts that open after posting, for example when you change a posted schedule, open Settings, then Approvals, and turn on Also offer shifts that open after posting.
Pick who gets it
Staff tap a shift in Open shifts to say they want it. The people who want it show on the card. Press Give it to one of them. The others are told the shift is taken. Undo is there if you change your mind.
You can also assign the shift to any person yourself.
Let it go automatically
In Settings, then Approvals, ScheduleSolve can approve a pick-up for you when it breaks no Must rule and adds no overtime. Under Always needs my OK for, list people whose requests always wait for you.
